JOB TITLE : PROCUREMENT OFFICER

RESPONSIBLE TO : SENIOR PROCUREMENT OFFICER
MAIN PURPOSE OF THE JOB
I. MAINTENANCE OF RECORDS OF ALL ASSERTS WITH RESPECT TO THEIR VALUE
Designs inventory classification systems for identifying easy handling and security of
asserts.
Maintains Asserts Register including property under lease.
Liaises with relevant stakeholders in compiling Asserts Register.
• Provides information regarding the status of inventory in ‘order to ease allocation of
funds.
• Up-dates stock file ledgers, and inventory records for proper record keeping.
• Forecasts the annual future requirement using quantitative approach.
• Recommends disposal of obsolete and unserviceable items to allow acquisition of
new ones.
MAINTENANCE OF INFORMATION ON SUPPLIERS STATUS
• Collects and compiles information of supplier approved list.
• Collects and compiles information of blacklisted suppliers.
• Disseminates information on supplier status to procurement entities.
• Updates information on supplier status periodically.
IMPLEMENTATION OF PROCUREMENT POLICIES AND PROCEDURES
• Arranges and prepares pre-proposal conferences.
• Distributes contract documents to potential suppliers.
• Prepares purchasing files, reports and price lists.
• Implements decisions with regard to the inspections of unserviceable stores.
ASSESSMENT OF CONTRACT PERFORMANCE AGAINST SERVICE
LEVEL
• Holds meetings with relevant stakeholders to enhance contractual relationships.
e Evaluates contract progress against set service level agreements.
• Prepares periodic reports.
JOB SPECIFICATION
Bachelor degree in Economics / Business Administration / Public Administration / Graduate
Diploma in Purchasing and Supply,
And
Work experience
A minimum of two (2) years work experience in Procurement, Business Management,
Public Administration. Finance, Law or Economics in Managerial position.
Other Relevant knowledge
• Knowledge of Public Service Rules and Regulations.
• Knowledge of the Financial Procurement Regulations.
