POSITION TITLE: Admin and Operations Assistance
DUTY STATION: Maseru
ORGANIZATIONAL UNIT: FAO Lesotho 
DURATION: 12 Months (Renewable)
DUTIES AND RESPONSIBILITIES :
Under the overall supervision of the FAO Representative, and the direct supervision of the Assistant FAOR (Administrator), the incumbent will provide administrative and operational support for the implementation of the Country Programme.
He/she will perform the following tasks:
- Analyse project budgets and provide support in the preparation of reports for project budget planning, delivery estimates and budget revisions;
- Follow-up on procurement of goods and services including tracing of purchase orders and contracts for compliance and timely delivery;
- establish and maintain up-to-date basic records required for project implementation, and reference records on directives and procedures of a technical or administrative nature relating to field operations work;
- reconcile operational records with other corporate records of the organization regarding personnel, budget, training, purchases, contracts and reports;
- Ensure data input into systems as accurate;
- Provide and coordinate the retrieval, entry, selection and analysis of data from a wide variety of sources, including FAO’s corporate systems and data bases (e.g. the Global Resource Management System (GRMS), the Country Office Information System (COIN), Data warehouse, et al.);
- verify accuracy of data and documents;
- make necessary calculations; initiate or follow-up a broad variety of administrative and operational actions necessary for the timely implementation of projects, including recruitment actions, travel requests, letters of introduction/instructions, briefing schedules and procurement of equipment;
- Review and clear invoices of incoming goods and services for accuracy prior to processing of payments;
- Facilitate logistics for trainings and travels for project staff and government counterparts;
- Establish and maintain proper filing system for procurement actions including purchase orders; contracts and tenders and VAT returns;
- Perform any other duties as required.
MINIMUM REQUIREMENTS
A Bachelor’s Degree in Accounting, Administration, Commence or CAT, with three years of experience in either disciplines. Working knowledge of English and Sesotho. Good knowledge of the MS Office package, Internet and office technology equipment. This vacancy is open to male and female candidates.
