WORK CONTEXT
Cesvi operates in South Africa with a Social Programme and an Environmental Programme.
Cesvi Social Programme takes form through a consolidated support for women and children who are the victims of domestic violence and abuse. The mainstay of these activities takes place in the House of Smiles, a hub of services in the Philippi township, Cape Town.Cesvi Environmental Programme supports the process of creation of the Great Limpopo Transfrontier Park (Mozambique, South Africa and Zimbabwe) helping the development of an integrated management of the park and promotes specific initiatives aimed at ensuring that the benefits this process brings will help the communities in the border areas. More recently engaged in a Public Private Community Partnership for the Eco-tourism development of the African Ivory Route.A new project within Cesvi Social Programme is about to start: "Promoting co-operative governance and collaboration through a multi-stakeholder service hub in Philippi, Cape Town."This two year project is co-funded by the European Union, Cesvi and the Dutch NGO Cordaid and builds on the experience of Cesvi's House of Smile Programme and Cordaid's Urban Matters programme in Cape Town as well as the co-applicant Community Connection's experience in organizational and technical capacity building of NPOs.
JOB DESCRIPTION
The collaboration is expected to start on March 1st, 2015
The duty station is in Philippi township, Cape Town, where Cesvi runs the House of Smile.
The Project Administrator supports the Project Manager for a smooth implementation of the project in accordance with the set regulations and framework.
Duration: 24 months
Key Responsabilities:
-plan and deliver all project and programme related administrative functions: accounting, budgeting, procurement, financial reporting and monitoring;
-ensure that the management of the program will comply with administrative procedures of the Donors, local Law and Cesvi;
-contribute to the development/improvement of office procedures and guidelines;
-ensure an adequate reporting to the Project Manager and country Administrator, as regard to the management/control of financial flows of the various projects, constantly monitoring expenses and cash flow (final balance and budget analysis)
-plan, supervise and control project and programme logistic functions
-assist the Project Manager in the preparation of contracts with suppliers, partners and service providers and monitor contract administrative performance
Main tasks:
Maintenance of General Ledger
Daily prime entry on the software in use
Ensure an efficient office organization and a correct registration of project documentations
Responsable for preparing the archive of the project folders
Ensure relevant balance sheet accounts (banks/cash) reconciliations
Responsible for the managing of the petty cash and assists with cash-flow management
Responsible for payments and expenses
Prepares schedules and makes payment of Employees tax and UIF
Ensuring that VAT is correctly accounted for
Liase with external stakeholders to address queries related to utilities and general contracts
Responsible for the travel booking of flights & accommodation for the project’s staff
Assists with the preparation and execution of the annual audit
Assistance Cesvi Administrator in preparing the trial balance and financial reports to the Donors
