VACANCY ADVERTISEMENT at LESOTHO COLLEGE OF EDUCATION
The Lesotho College of Education (LCE) invites applications from suitably qualified candidates for the position of Personal Assistant (PA). Interested persons may access additional information on the job from the Human Resources Office based at the Administration Building of the LCE Maseru campus.
1. PERSONAL ASSISTANT (PA) (1) – MASERU
JOB SUMMARY
Personal Assistant to the Rector is responsible for the overall administrative support to the office of the College Rector which include management of the daily affairs of the Rector’s office. He/she further coordinates collaboration between the Rector’s office with different offices within and outside the College.
MAIN DUTIES
1. Manages the Rector’s diary, assessing priority of appointments and reallocation as necessary.
2. Provides support for an extensive range of meetings. This will include preparing agendas, issuance of invitations, pre-meeting briefings and meeting documents preparations, noting action points and following them up.
3. Receives and deals with telephone calls professionally, re-directing or taking messages and using initiative to deal with queries.
4. Sorts, distributes and responds or drafts responses to incoming mail in a timely and efficient manner.
5. Drafts presentation papers and speeches for the Rector.
6. Acts as a key liaison point between the Rector and other levels of College management, setting up meetings as appropriate and maintaining good communications.
7. Makes travel arrangements, booking of accommodation and processing claims for expenses for the Rector.
8. Provides high quality and professional office hospitality to Rector’s visitors and conducts scanning of the Rector’s visitors and redirect them where necessary to appropriate offices.
9. Prepares Rector’s office budget and implements accordingly.
10. Coordinates committees and task forces on behalf of the Rector and prepares reports thereof.
11. Relays the Rector’s directives, instructions and assignments managers at different levels and makes follow-ups for compliance.
12. Maintains hard copy and electronic fi ling system management.
QUALIFICATIONS AND EXPERIENCE
Degree in Social Sciences/Communications/Project Management or related fields and plus 5 years’ experience at the management level preferably in Higher Education Environment.
ESSENTIAL REQUIREMENTS
• Experience as a Personal Assistant to a senior management figure.
• Exceptional interpersonal and communication skills, including the ability to ensure effective communication with a wide range of contacts both internal and external to the College.
• Ability to assimilate large quantities of written and verbal communication reports on time.
• Ability to deal with sensitive information with discretion and to maintain confidentiality at all times.
• Excellent IT skills.
