JOB TITLE ADMINISTRATION OFFICER

RESPONSIBLE TO : DEPUTY PRINCIPAL SECRETARY

MAIN PURPOSE OF THE JOB
To provide guidance and supervision in the implementation of guidelines and procedures that governs finance and administration systems.
MAIN DUTIES
COORDINATES IMPLEMENTATION OF FINANCIAL MANAGEMENT
POLICIES, GUIDELINES, PROCEDURES AND SYSTEMS.
• Compiles the divisional budget.
• Implements the divisional budget .
COORDINATES IMPLEMENTATION OF PROCEDURES AND GUIDELINES
GOVERNING ADMINISTRATION SYSTEMS AND SERVICES TO ENSURE CONSISTENCY AND ACCOUNTABILITY.
• Coordinates implementation of public asset’s maintenance plan.
• Coordinates implementation of the security plan.
• Government property and asset register.
• Produces a report on matters relation to maintenance and loss of public assets.
• Coordinates updating of an assets register and makes recommendations on matters
relating to procurement and disposal of public assets.
CO-ORDINATES IMPLEMENTATION OF TRANSPORT POLICY.
• Provides guidance in the implementation of the policy.
PROVIDES APPROPRIATE LOGISTICAL SUPPORT ON MINISTERIAL EVENTS
ID Compiles a budget for events.
• Develops work plans for events.
• Participates in the preparatory meetings for an event.
MANAGES EXTERNAL AND INTERNAL COMMUNICATION.
• Provides guidance on information dissemination.
• Facilitates proper guidelines for records management systems.
Establish proper guidelines for the circulation of external and internal
correspondence.
COORDINATES THE ACTIVITIES OF THE DIVISION
• Compiles divisional work plans
• Compiles sectional training plans
• Appraises administrative staff
JOB SPECIFICATION
Education and Training
Masters Degree in Public Administration / Business Administration plus two years working
experience
OR
Bachelors Degree in Public Administration / Business Administration
Work Experience
Two (2) years working experience in Public Administration / Business Administration
