Under the general supervision of the Country Director, the Logistics Assistant reports to the Logistics Officer.
Job Requirements/ Responsibilities:
• Supervise the offloading and stacking of food and non-food commodities;
• Report on the quality, quantity of the received commodities;
• Maintain clean and pest- free storing conditions and report immediately of any infestation in the warehouse;
• Maintain proper records of food and non-food commodities in the warehouse and the ledger;
• Proper documentation of receipts and despatches of both food and non-food commodities (sign and prepare waybills);
• Conduct stock reconciliation with CTS to ensure that reports are reflecting a true record of stocks;
• Ensure that reconstitution is timely done and documentation to CTS is made in time;
• Ensure that loading of food commodities is done on a timely manner meeting the required time deadlines;
• Ensure that labour provider operate according to contractual obligation i.e. supply labour as require;
• Make periodic physical inventory checks and always arrange stocks ready for monthly stock take by CTS;
• Report on and, in consultation with the warehouse manager take appropriate action for the disposal of spoilt food commodities
• Ensure that food commodities are issued out following FIFO system to avoid deterioration;
• Prepare internal loading authorities/instructions;
• Perform other related duties as required.
Qualifications: High School education with additional training and/or courses in Logistics or other related field such as shipping or other transport. Must be computer literate.
Experience: At least four years of progressively responsible support experience including at least two years in the field of finance, accounting, transport, insurance, statistics operations, administrative services or other related field.
Knowledge/Special Skills: Training and/or experience utilizing computers including Word processing, spreadsheets and other software packages. Very good knowledge of Sesotho and English. Knowledge of WFP financial regulations, rules and WFP policies and procedures in the area of work is an added advantage.
Results expected and Critical Success Factors: With initiative and judgement produces organized, accurate and well documented records with well analysed data, and identifies and addresses unforeseen situations seeking advice and guidance from supervisor as necessary. Identify and resolve operational problems with substantial independence. Ability to review a variety of data, identify and adjust data discrepancies. Ability to work in a team environment and coordinate achievements to achieve common goals. Ability to deal patiently and tactfully with people of different nationalities and cultural backgrounds.
