TITLE : Corporate Service Department Assistant
DEPARTMENT : Administration
SUMMARY:
Under the TARGET project the incumbent will provide efficient and cost effective administrative support in the Cooperate Service Department.
The position is based in Maseru and reports to the Admin Manager and supervises the Office Assistants.
ROLES & RESPONSIBILITIES:
Responsibilities include, but are not limited to:
• Answering and making phone calls, faxing, Photocopying, typing inter-office correspondence and other official correspondence for Corporate Service Department.
• Making travel arrangements for for international and local visitors, including visas, residence permits accommodation and transportation.
• Assisting in the coordination of meetings, presentations and training courses. Organises refreshments and catering facilities for meetings, workshops, official gatherings as required
• Managing airport transfers, Visa applications and residents permit for all new employees.
• Maintaining and disbursing petty cash and travel advances.
• Maintains supplies inventory by checking stock to determine inventory level; anticipating needed supplies; placing and expediting orders for supplies; verifying receipt of supplies.
• Ensures operation of equipment by completing preventive maintenance requirements; calling for repairs; maintaining equipment inventories; evaluating new equipment and techniques.
• Responsible for the maintenance of the asset register and allocation.
• Provides logistical support to PSI head office in areas such as communications and office space.
• Provides oversight to Officer Assistants and ensures that cleanliness is maintained at all times around the office area and warehouse
• Contributes to team effort by accomplishing related results as needed.
EDUCATIONAL QUALIFICATIONS AND WORK EXPERIENCE:
• Degree in Business/Public Administration with 3 years experience or equivalent. Or Diploma in Business Management and 5 years experience.
• Experience working in a Management/Supervisory role is preferred.
