Administration officer – SA Country Program

Travel and logistical support
  • Manage travel and logistics support to the country and regional teams;
  • Liaise with travel agent on behalf of country and regional teams;
  • Manage updating and periodic review of travel matrix in liaison with Country Finance Manager;
  • Coordinate events management planning for project and country events and functions.
Administrative and procurement support
  • Manage provision of efficient admin services to country and project teams;
  • Develop and implement SOPs to support efficient admin processes across the country programme;
  • Liaise with vendor on procedure goods and services ensuring timely delivery and safekeeping ;
  • Manage receipts and distributions of project materials/ assets and office supplies;
  • Organise country and regional meetings including coordinating provision of secretarial support;
  • Coordinate printing and document production of office and project materials;
  • Design, implement and maintain secure record keeping system for country and regional offices;
  • Organise country and regional meetings including provision of secretarial support;
  • Line management of Admin Assistant support at regional level.
Facilities management
  • Office management including oversight of Country and regional office reception duties;
  • Manage facilities service for Country office, maintenance of office environment and equipment;
  • Liaise with Country Finance Manager to ensure proper use and maintenance of physical assets and office, including vehicles, equipment, and furniture and office buildings;
  • Receptionist 2 (PTA)
Fleet Management
  • Manage monthly m2m vehicle plans and bookings for project and regional team travel;
  • Ensure maintenance and servicing of m2m vehicles including use and checking of vehicle logbook;
  • Ensure verification and consolidation of monthly mileage claims;
  • Coordinate monthly reconciliation of petrol card statement;
  • Collect and periodically review vehicle tracker reports ensuring appropriate use in line with organisational policies and team travel schedule.
