Management Secretary at the Road Fund Secretariat

The Road Fund was established by Legal Notice No. 179 of 1995, with the primary objective of providing a mechanism for progressive transformation of the road sector, whereby the fiscal burden for maintenance of roads is gradually being shifted from the Government to users of public roads. Overall management of the Fund rests with the Road Fund Board, which was established by Legal Notice No. 16 of 1996 whilst the day to day operations of the Fund are entrusted to the Secretariat.

The Road Fund Board therefore requires the services of a suitably qualified Lesotho National to fill the position of Management Secretary at the Road Fund Secretariat – 4th Floor Post Office Building, Kingsway Maseru. The Management Secretary will be reporting directly to the Chief Executive Officer (CEO).

Purpose of the Job

The incumbent is responsible for management of the CEO’s office and providing secretarial and administrative services.

.Key Performance Areas and Responsibilities

Types all correspondence from the office of the CEO, including letters and reports as needed
Takes and types minutes of Management meetings
Maintains CEO’s diary of appointments for effective running of the office
Makes all travel arrangements for the CEO as need be
Prepares Board papers and meetings
Manages the office of the CEO in his absence
Receives and classifies all mail that comes directly to the CEO
Files all correspondence and other confidential documents as required
Sets and agrees on performance standards with the CEO on an annual basis and conducts performance reviews to assess achievement of set standards

Required Qualifications and level of experience
Qualifications, Working Experience, and Knowledge:
Diploma in Secretarial Studies plus five (5) years of experience as a Personal Assistant, OR,
Graduate Diploma in Management plus three (3) years of experience as a Personal Assistant.
Required Competencies

Good organizational and office management skills with the ability to solve problems listen and pay attention to detail and deliver work to a high standard and tight deadlines.
Strong interpersonal skills and the ability to work with individuals at all levels.
Able to work under pressure.
Computer skills with word-processing, spreadsheets, e-mail and other specialized software applications utilized daily.
Remuneration

Salary will be in accordance with the Road Fund scales of remuneration, which are competitive and market related.
