ISS Nairobi: Regional Office Administration Manager

The ISS seeks to appoint an Office Administration Manager with a sound understanding of administrative as well as financial processes and standards. The position will be based in Nairobi. The main function is to coordinate all four support functions, i.e. Finance, Human Resources, Administration and Communication between the head office in Pretoria and the Nairobi office. The candidate will also be responsible for implementing and managing functional control systems in adherence with all ISS policies and procedures, and will ensure office level compliance with all ISS support functions. The position will have a multiple reporting structure.
Overview of duties
  • Manage the implementation of functional control systems in adherence with all ISS policies and procedures and ensure office level compliance related to all ISS support functions.
  • Financial administration, including budget preparation, monitoring of expenditure, cash-flow forecasts and accurate financial reporting to head office.
  • Oversee the implementation of all HR standards in the ISS, which includes recruitment, induction, probation management, work plan and performance monitoring, contractual and policy compliance and payroll administration.
  • Ensure that the ISS remains statutorily compliant with all local legislation as determined by the Kenyan government.  
  • Maintain an administrative record-keeping system for the office, and ensure that all files relating to contracts, correspondence, etc. are up to date.
  • Manage office facilities and services (building, fixed assets, amenities, insurance, service providers). Maintain, update and reconcile fixed asset register on a regular basis.
  • Supervise and oversee the efficient performance of administrative staff.
  • Oversee the implementation of the Communication Policy standards in the office as well as adherence to the ISS Corporate Identity Manual.
Overview of requirements
  • A degree in business administration/financial management.
  • 5 years’ experience in office, financial administration and HR management.
  • Experience and knowledge of the legal environment in Kenya and statutory requirements in terms of employment and taxation laws.
  • Advanced computer skills: MS office applications (Outlook, Word, Excel). Working knowledge of the ACCPAC financial system.
The length of the contract will be two years, and may be renewed subject to organisational requirements, funding and satisfactory performance. A competitive salary is offered.
