Team Assistant, Consumer Planning, Media and Futures.

Context


The TA role plays a significant role in supporting our leaders to deliver our Performance Ambition in the Consumer Planning, Media & Futures and Influence and Advocacy teams.
The Consumer Planning team has a broad influence across all elements of the business, leading sharp insight and forward thinking and applying it in the development of marketing and innovation activity which is based on consumer, category and cultural understanding. The Consumer Planning team is deployed against brand, innovation, shopper and market issues across of WE.


Dimensions of the role



a) Financial 
Responsible for supporting the relevant team with their business agenda. This includes (but is not limited to) diary and expense management, travel and meeting/conference related arrangements, managing Purchase Orders & invoices and assisting with ad-hoc project work and related expenses, all while maintaining a cost conscious mindset.

b) Market Complexity 
Dependent on the business area in which the role supports, a good understanding of the market complexities is important as is the ability to work effectively across different markets, functions and teams. Ability to develop and maintain strong relationships is also a critical success factor for this role.

c) Leadership Responsibilities 
The individual in this role has the ability to manage multiple stakeholders, supporting the team to deliver key outputs. The individual can effectively prioritise their own and others time, utilising their own initiative to assist the team in administration, time management and ad-hoc project work.

Responsibilities include:
- Supporting the Director and team to achieve their business outcomes
- Anticipating needs and managing time effectively, providing timely and relevant information to enhance decision-making
- Effective relationships are in place internally and externally that enable self and team to realise outcomes with pace
- Excellent execution of all administration activities which creates space and freedom for others to deliver their outcomes
- Financial administration is accurate, timely and compliant
- Efficient meeting processes, action delivery and communication
- Events and travel requirements are co-ordinated effectively and all costs managed to budgets


Top Accountabilities


1. Enables most efficient and productive use of team and leader’s time through excellent diary management and administrative support
2. Prioritises team needs successfully, managing multiple stakeholders and supporting on ad-hoc project work where applicable
3. Provides clear and timely communications where applicable, both within the team and externally with broader stakeholders
4. Ensures all meetings, events/conferences are run on time and to budget, identifying and implementing cost savings, managing logistics and engaging with stakeholders as appropriate
5. Ensures all Purchase Orders, invoices and expenses are completed in a timely, accurate and compliant manner
