PA to Finance and HR Directors

Purpose of Role To manage the day to day administration of the Finance Director & HR Director and provide the necessary support to their respective leadership teams.
Top Accountabilities
Manages the diary of the Finance & HR Directors

Screen telephone calls and emails, answer routine queries and/or refer to alternate.

Organise and arrange travel itineraries for the FD & HRD, including: Flights, Vehicles, Accommodation, Visa administration (including foreign visitors to business).

Manages the itinerary of local & international guests visiting the FD & HRD.

Provide full financial administration support e.g. raising purchase orders, expense claims, medical aid reconciliation etc

Deals with business and personal information of a confidential nature.

Coordination and administration of FD & HRD’s meetings, conferences, workshops etc (internal and external).

Support FD & HRD with respective leadership team meetings including: agenda, pre-read, invitations, logistics, event management, updating member list, admin support.

Support new Finance & HR leadership team members coming into the business.(access tags, business cards etc)

Manage daily administration e.g. filing, report generation, document signing etc

Manage & coordinate the efficient roll-out of the annual Diageo Values & Deloittes Best Company Surveys

Support of ad hoc of Finance & HR projects across the Finance & HR teams.
Qualifications and Experience Required Qualifications
Matric essential

Experience
Minimum 4 years experience in a Personal Assistant role
Organisational skills
Project and time management
Excellent Interpersonal skills
Excellent Written/verbal communication
Analytical skills
Full SAP capability
