ISS Pretoria: Division Administrator, Conflict Prevention and Risk Analysis Division

The ISS seeks to appoint a dynamic Division Administrator (DA) in the Conflict Prevention and Risk Analysis (CPRA) division based in Pretoria. The division has staff working in all four of the ISS’s offices: Pretoria, Nairobi, Addis Ababa and Dakar. The DA’s main function will be to consolidate reporting and administration for the division in Pretoria where s/he will report to the Division Head.
The most important aspect of this position is to ensure effective financial administration and consolidation of the division’s financial and narrative reports. CPRA Programme Administrators in Nairobi, Addis Ababa and Dakar will report to the DA.
The DA will provide administrative, management and logistical support to the Division Head and team members. Events coordination will also be a key function as the division regularly hosts seminars, workshops and international conferences.
About the Conflict Prevention and Risk Analysis (CPRA) division
CPRA helps prevent conflict by providing informed conflict analysis and early warning to African and international decision makers.
Overview of duties
  • Financial administration for the whole division, including budget preparation, monitoring of expenditure, cash-flow forecasts and financial reports
  • Preparing consolidated divisional narrative reports
  • Coordinating divisional donor reporting schedules
  • General programme organisation and administration, minute-taking at meetings, accurate and logical record keeping of the division’s documents and files
  • Planning, preparing and executing all logistical arrangements relating to event coordination, including travel arrangements of international participants and effective financial administration of event expenses
  • Travel and logistical arrangements for the Division Head and other members of the CPRA team
  • Effective diary coordination of the division members according to their respective work plans and commitments
  • Screening telephone calls, enquiries and requests relating to the division
Overview of requirements
  • At least 5 years’ experience in financial and programme administration
  • A B-com degree will be preferred but a diploma in financial and/or business administration will also be considered
  • Exceptional planning and organisational skills and the ability to multi-task
  • Proven competence in MS Office with advanced knowledge of Excel
  • Self-motivated, focused, deadline driven, action-orientated and good people skills
  • Ability to travel regionally and internationally
The contract will be for two years, and may be renewed subject to programme requirements, funding and satisfactory performance. A competitive salary is offered.
