PERSONAL SECRETARY

Applications are invited from suitably qualified candidates for the above-mentioned vacant positions in the Central Administration.
ADMINISTRATION
1. Key Performance Areas:
- Types routine correspondence and reports from dictation or hand-written copy.
- Receives, sorts and screens mail and distributes for appropriate action
- Maintains records through filing, retrieval, retention, storage, compilation, coding, updating.
- Operates office equipment such as photocopier, fax machine and coordinates the servicing of equipment.
- Receives telephone calls, screens callers, relays messages and receives visitors.
- Maintains calendar, schedules appointments and prepares for meetings, seminars and workshops
- Maintains security of the office and documents.
- Coordinates special projects and events, office activities and committee meetings.
- Makes travel and accommodation arrangements.
- Uses various software applications, such as spreadsheet, statistical packages, manipulates and formats data and reports.
- Completes various request forms for office supplies and equipment.
- Performs any other duties that may be assigned in relation to the office one will be serving.
2. Knowledge, Skills & Abilities:
- Possession of good IT skills and confidence in using a range of software packages
- Knowledge of office procedures
- Proficiency in editing documents
- Excellent verbal and written communication skills
- Must possess planning and organizational skills
- Excellent interpersonal skills
- Ability to pay attention to detail
- Ability to maintain confidentiality at all times
- Good time management and ability to multi-task
- Ability to take initiative, work well independently and as part of a team
- Ability to work under pressure and meet deadlines
3. Minimum Qualification Requirements:
PERSONAL SECRETARY:
Cambridge Overseas School Certificate (COSC) with a pass in English Language OR equivalent qualification plus Diploma in Secretarial Studies with 55 words per minute in Typing and 110 words per minute in Shorthand. Two years work related experience.

The University offers salaries and other benefits commensurate with qualifications and experience.
Employment type:
Permanent and pensionable/gratuitable for Locals and Contract for Non – Locals.
